Why black boxes are not redaction

Draw a filled black rectangle over a name in a PDF editor and you have added a shape to the page. The name underneath is untouched. Select across the area and copy, or run the file through a text extractor, and it comes straight back out. This failure has exposed witnesses, salaries, medical details and unredacted case files in a long line of public embarrassments, always in the same way: the person doing it could not see the text any more and assumed nobody else could either.

The same applies to white boxes, to highlighting set to black, to covering text with an image, and to flattening a document that has boxes drawn on it. If the characters are still in the file, the redaction has not happened.

What this tool actually does

Every page you mark is re-rendered as an image with the boxes painted in, and that image replaces the page. There is no text layer left on those pages, so there is nothing under the box to recover — not by copying, not by extraction, not by opening the file in a hex editor.

That last column is the honest cost. A redacted page becomes a picture, so it is no longer searchable and its text cannot be copied. Pages you did not mark are copied through untouched and keep their text. If you need the document searchable afterwards, run the result through OCR PDF — which will read the visible text and, of course, not the part you removed.

What else travels with a document

Redaction handles what is visible on the page. Several other things leave a document without appearing on any page, and they are worth clearing in the same pass:

  • Metadata. Author name, the software used, creation and modification timestamps, and often the full file path it was saved from. Remove PDF Metadata clears these.
  • Annotations and comments. Review notes are stored as objects and are frequently invisible in a quick preview but plain to see in another reader.
  • Content outside the crop box. Cropping a PDF usually hides content rather than deleting it, and uncropping brings it back.
  • Form field values, including fields scrolled out of view or marked hidden.
  • Earlier revisions. PDFs can be saved incrementally, appending changes rather than rewriting, which can leave previous states recoverable.

The option to flatten every page, not only the marked ones, deals with all of those in one step. It produces a larger file and removes searchable text throughout, so it is the right choice when the document is genuinely sensitive and the wrong one when you are redacting a single line from a long report.

Before you send it

  • Check the result, not the original. Open the redacted file and try to select text in the redacted area. Nothing should highlight.
  • Search it. Run the output through PDF to TXT and search for the name or number you removed. This takes thirty seconds and is the only step that actually proves the rest worked.
  • Cover generously. Letters extend slightly beyond where they appear to; a box ending exactly at the last character can leave a legible sliver.
  • Watch for the same information elsewhere. A name redacted on page 3 is no use if it appears in the header of every page, in a signature block, or in the file name.
  • Keep an unredacted original somewhere separate. This is not reversible.

A note on stakes

For legal disclosure, freedom of information responses, court filings or anything involving a third party's personal data, the standard is higher than any single tool can guarantee, and the consequences of getting it wrong fall on you rather than on the software. Use a process with a review step, verify the output independently, and where an organisation has a redaction policy, follow it. This tool removes what you mark; it cannot know what you forgot to mark.

Frequently asked questions

Can the redacted text really not be recovered?

Not from the output file. The page was re-rendered as an image with the box already painted in, so the characters were never written into the new document.

Why is my redacted page no longer searchable?

Because removing the text layer is exactly what makes the redaction real. Pages you did not mark keep their text.

Does the file get bigger?

Redacted pages become JPEG images, which is usually larger than the text they replaced. Compress PDF afterwards if size matters.

Can I redact a scanned PDF?

Yes, and it is simpler — a scan has no text layer to begin with, so covering the area is enough. The pages are re-rendered either way.

What about the original file on my computer?

It is untouched. This produces a new file; delete or store the original according to whatever rules apply to it.

Is my document uploaded?

No. Rendering and rebuilding happen in your browser, which matters more here than on any other tool.
